How we handle your church's data. Last updated July 29, 2026.
Your church will be storing sensitive information in SanctuaryCMS — member names and addresses, giving records, attendance, sometimes prayer requests and pastoral notes. We take that seriously. This policy covers what we do (and don't do) with that data.
What we store
Whatever your church's administrators choose to enter — member and family records, giving history, attendance, event details, prayer requests, and similar church-administration data. We also store basic account information (church name, contact name, email, phone) for billing and support purposes.
Where it's hosted
Each church's data lives in its own separate, dedicated database — your church's data is never combined with or stored alongside another church's data in a shared table. Hosting is provided through established, reputable infrastructure providers.
Who can access it
Access within your SanctuaryCMS installation is controlled entirely by your own church's administrators, through the roles and permissions you set up for your staff and members. Separately, DBNet Development & Design maintains its own administrative access to your installation for support and maintenance purposes — this is disclosed in our Terms of Service and exists so we can help directly when something needs fixing. We don't access your data beyond what's needed to provide support, and we never sell, rent, or share your church's data with third parties for marketing or any other purpose.
Backups
We maintain regular backups of hosted data as part of normal operations, to help protect against accidental data loss on our end. Backups are retained only as long as reasonably necessary and are not used for any purpose beyond recovery.
If you cancel
If your church cancels its subscription, we'll provide a reasonable window for you to export your data before it's removed from our active systems. Reach out to support@sanctuarycms.com if you need help with an export or want to discuss timing.
Cookies and analytics
Our marketing website may use basic, privacy-respecting analytics to understand how visitors use the site (e.g., which pages are viewed) — we don't sell this information or use it to build advertising profiles. The member portal itself uses only what's necessary to keep you logged in securely (session cookies) — nothing tracking-related.
